Broad categories are easier to maintain than a deep hierarchy. Start with a few areas that match how you actually work.
Name files for future-you
Dates and clear descriptions make search easier months later. Consistency matters more than finding a perfect naming system.
Separate inbox from archive
Keep downloads and incoming files in a temporary place, then review them regularly instead of letting the folder become permanent storage.
Know where the backup lives
A second copy is only useful if you know what is being backed up and how to restore it.
Review briefly, not endlessly
